New agency? Your first five candidates are on us.
How it works

Every step, day by day, and whose it is.

What happens from the minute you add a candidate to the day their file is cleared: who does each part, what we chase and when, and how long it takes. Most of it is ours, including the wait for the Disclosure and Barring Service.

Eight steps, and you come in at two of them.

1About a minute

You add the candidate.

Yours
About a minute on one screen.
Ours
Their file opens with all eleven checks on it, and their welcome email goes straight away.

One screen: their name, email address, the role and the day you need them cleared by, then who pays for their Enhanced DBS with children's barred list. A mobile number helps us ring them.

Or import a spreadsheet of candidates, or approve somebody who signed up through your agency's own link.

  • The screen shows what this one costs before you press Add. In your free month it is one of the five candidates cleared on us. After that it is one of the ten clearances your £350 buys on your billing date, and from the eleventh it is £35, taken from your card the day you add them.
  • If you cover the Enhanced DBS with children's barred list, the £68 is taken from your card that day. If the candidate pays, they pay it by card in their own pages and nothing is charged to you.
2From the same day

The candidate fills in their own pages.

Yours
Nothing. You can see how far they have got on their record at any time.
Ours
A reminder every working day from day 1 to day 10, covering everything still owed, and a call from one of us on day 7 if anything is still missing.

The welcome email carries a link to their own pages. There is no account to make and no password, and it works on a phone. Everything saves as they go, so they can stop after any page and pick up where they left off.

If they have been cleared with us before, their pages first ask whether to share that file with you. If they say yes, only what is missing or out of date is asked for again.

  • The privacy notice, read and signed first
  • Their details and their work history
  • A photograph
  • Their documents: identification, proof of address and qualification certificates
  • Their Enhanced DBS with children's barred list, answered once. If you have asked them to pay, they pay the £68 there. The £68 is refunded in full to whoever paid it if the application is never submitted, including where their certificate is on the Update Service and we check that instead
  • Referees covering the last two years
  • The declarations, signed

Waiting on the candidate · 14 days

What your record says if anything is still owed at day 14. A word from you at that point often moves it.

3Ten minutes

We see every candidate on video.

Yours
Your own registration interview with the candidate, recorded on their record.
Ours
The ID interview and the record of what we saw.

Nobody reaches a school unseen. The candidate books a time in their pages from the hours we are free. Every candidate has a ten-minute ID interview: they hold their photographic identification up to the camera, we check it against the documents they sent us, and we record what we saw. Right to work is a separate check, below.

Our ten-minute ID interview is an identity check, not a registration interview. You hold your own registration interview with each candidate and record it on their record.

  • The ID interview costs nothing extra
  • The candidate can move their call up to two hours before it starts
4As the documents arrive

We run the checks.

Yours
Nothing.
Ours
Every check, dated, with the evidence held on the file.

Each check is recorded with its date and the evidence behind it, in the form a school puts straight onto its Single Central Record. A check the role does not call for is still on the file, reading Not required with the reason.

  • Enhanced DBS with children's barred list
  • Right to Work
  • Identity
  • Reference 1
  • Reference 2
  • Prohibition from teaching check
  • Section 128 check
  • Employment history
  • Qualifications
  • Overseas checks
  • Signed declaration
  • Then the training every candidate completes: safeguarding training and allergy and anaphylaxis awareness training

5The day it can go in

We apply for the Enhanced DBS with children's barred list.

Yours
Nothing.
Ours
The application, the same day it can go in, and staying on it until the certificate lands.

It goes in the day the candidate has sent every document and their identity is confirmed, without waiting for the call. Where the candidate is paying, it goes in once they have paid.

The certificate then comes from the Disclosure and Barring Service, and nobody can hurry it. Most come back within two weeks. Some take up to eight weeks when police forces need to look. We record the result the day it arrives. Your file is cleared once every other check is done.

  • Those figures are GOV.UK's: an enhanced check usually takes around 14 days, and about eight in ten come back within that.
  • We give no date for the certificate, because the Disclosure and Barring Service sets it.
On your record
Waiting on the Disclosure and Barring Service · day 11

The day it went in is day 1, and the count goes up every day until it comes back.

6The day the last check lands

The file is cleared, and you send it.

Yours
Send the pack to the school when you are ready.
Ours
The stamp, the email to you, and a pack ready to go.

The file is stamped cleared the day its last check is complete, and you get an email straight away. The vetting pack is ready on the candidate's record.

You send it to the school yourself, from your app. The school opens it from a link in the email, with no account to make, and sees all eleven checks with their evidence and dates. Nothing goes to a school without your approval.

  • Every check listed with the date it was recorded and the evidence held
  • The school's link lasts 30 days
  • The employment decision, and the statutory excuse as employer, stay with your agency. Every pack says so

7For as long as they are with you

We keep them current.

Yours
Nothing, unless a renewal needs a word from you.
Ours
Every expiry date, and the chasing before it falls due.

Safeguarding training expires and Right to Work needs a recheck when a visa is due to end. We track every date, remind the candidate and you at 60, 30 and 7 days before it falls due, and follow the renewal through. The Disclosure and Barring Service Update Service status is checked every 12 weeks, as the APSCo standard asks, at no charge.

  • £9.99 a month for every candidate on your register, charged on your billing date. Start one part-way through a month and you pay only for the days left, on your next billing date. No minimum: if you've got two, it's £19.98. Stopping takes effect from your next billing date.
8Every Monday, and the day they clear

How you hear about it.

Yours
Read it when it suits you.
Ours
The Monday email, the Cleared email, and a record that is always current.

Every Monday at eight, one email with every candidate who is not yet cleared, where each has got to, and who it is waiting on: the candidate, a referee, the Disclosure and Barring Service, us or you. The Cleared email comes the moment a file is stamped, not on the Monday after.

In between, everything is live in your app. Ask Alex, your Staffroom24 assistant, about a candidate and you get the current position with dates.

  • Only the lines that say Waiting on you need anything from you
  • Choose who at your agency gets the Monday email, or turn it off, in your settings
How long it takes

What we hold ourselves to, and what we wait for.

We set targets for the parts we control, and keep them. The certificate itself comes from the Disclosure and Barring Service, so we cannot promise a date for it. We tell you how long most take, and how long some do.

Ours to keepA week, two at most
The Disclosure and Barring ServiceMost in two weeks, some up to eight weeks
Weeks from the day you add them. The application is drawn going in at the end of the first week, our target for having everything in.
Ours to keep

Everything from the candidate within a week.

  1. The day you add them

Their welcome email and their own pages.

  2. Working days 1 to 10

A reminder every working day, covering everything still owed.

  3. Day 7

One of us rings them if anything is still missing.

  4. Within a week

Everything we need from the candidate, or two weeks at most.

  5. The same day it can go in

Their Enhanced DBS with children's barred list applied for.

Not ours to promise

The certificate, in the Disclosure and Barring Service’s time.

  1. Day 1

Your record reads Waiting on the Disclosure and Barring Service, and counts the days.

  2. Within two weeks

    Most certificates come back.

  3. Up to eight weeks

Some take this long, when police forces need to look.

  4. The day it arrives

We record the result. Your file is cleared once every other check is done.

Join the waitlist and we’ll clear your first five candidates.

We'll run every check on those five free. The only charge is the £68 Enhanced DBS with children's barred list for each, taken from your card the day you add them, or paid by the candidate before we apply if you choose. We aim to have everything we need from each candidate within a week, and we apply for it the same day it can go in. Most come back within two weeks. Some take up to eight weeks when police forces need to look. We record the result the day it arrives. Your file is cleared once every other check is done.

We won't send you spam or pass your address on.
